Our Client is looking to expand their team with a “Solar Project and Administrative Assistant India”, with previous professional experience in a similar position. The Project and Administrative Assistant India plays a critical role in their Operations Team and will be responsible for providing comprehensive support in general project implementation and management
Project Assistant tasks:
Managing the logistics of and coordinating content development for meetings, conferences, training, and other project-related events.
Drafting official correspondence in both English and Hindi.
Permanent communication with clients, project partners and stakeholders regarding project activities in order to optimize access and to ensure timely organization and facilitation of the implementation of project activities.
Managing databases to support project activities.
Follow up with clients and AES teams to facilitate the preparation of progress reports and the submission of reports, as well as the collection of any additional information and data to this end.
Arranging travel for meeting with clients and project site visits, making appointments with clients, project stakeholders, including logistical arrangements, and secretarial support.
Preparing direct payments, advance requests and invoices and preparing project controlling.
Responsibility for day-to-day project correspondence and ensuring appropriate follow-up actions are taken.
Assistance in preparing offers, presentations, reports and updating projects files. Preparing meeting minutes as and when required.
Assistance in the preparation of engagement letters, necessary documentation for issuing contracts and purchase orders with and by clients.
Administrative Assistant tasks:
Constant interaction with the Managing Directors, the AES teams and the clients
Support tasks for the Executive Management such as preparing meeting agendas, compiling presentations and information packages and preparing official minutes of management meetings
General office administration such as welcoming guests, accepting deliveries, handling incoming phone calls and distributing incoming post
Assistance with book-keeping and invoice management
Planning, organizing and scheduling work such as conference calls, meetings and travel arrangements
Supporting guests and visitors (first point of contact)
Correspondence in English and Hindi Language is a must
